privacy policy

This Privacy Policy (the “Policy”) is applicable to any personal information which is given by You to Us (“User Information”) via the web site located at www.charitychallenge.ca (the “Site”).  This Policy is devised to help You feel more confident about the privacy and security of Your personal details.

You” shall mean you, the user of the Site.  “We/Us” means Challenges (Un)Limited, trading as Charity Challenge, and any member of the Challenges (Un)Limited organisation.  “Users” means the users of the Site collectively and/or individually as the context allows.

data collection

When using the Site, You may encounter areas, such as 'book now', 'request a brochure' or 'submit photos to the gallery', which require You to enter User Information.  Such User Information may include Your name, address, telephone number, email address, date of birth, age, place of birth, gender, passport details, next of kin information, and medical history.  We identify the purpose for collecting User Information at or before the time it is collected.  User Information will be used only for the purposes for which it is collected.  We will only collect, use or disclose Your User Information with Your informed consent and in accordance with this Policy, unless otherwise permitted or required by law.   

how we may use your data

We may use Your User Information for the following purposes:

  • to operate and administer Your challenge, including processing visas, booking hotel reservations, and arranging flights and insurance coverage;
  • to market Your challenge for the specific charity that You have chosen to support;   
  • to communicate with You regarding the status of Your booking and to respond to Your enquiries; and
  • to send You periodic communications (this may include email), about features, products and services, events and special offers, unless you tell us not to do so.  Once You book a challenge with us, We will automatically add You to Our mailing list to receive further updates from time to time about Our challenges.  We will not market any challenge for any specific charity other than the one You are currently supporting and We will not pass on Your details to any other person or company for marketing purposes.  You may opt out of receiving these communications at any time by emailing info@charitychallenge.ca, by clicking on the “unsubscribe” link at the bottom of electronic communications, or by writing to Charity Challenge, 22-23 Arcadia Ave, London, N3 2JU, England.

Please note that We do not disclose User Information to third parties to enable them to send You direct marketing.

From time to time, We may share Your User Information with third party agents, suppliers and service providers for the purposes of managing Your challenge or other purposes consistent with the uses set forth above.  For example, We may communicate User Information such as dietary requirements, allergies, or medical conditions to airlines, ground handlers, and tour leaders, to better ensure Your safety.  We may communicate Your name, occupation, date of birth, and passport number in processing any group visas or reserving hotels overseas.  We may communicate Your name, age, address, and medical conditions to insurance companies in order to provide You with adequate coverage.  In such instances, We use contractual or other means to ensure such third parties provide a comparable level of protection over Your User Information while the information is being processed by such third party.  Personal information may also be used or disclosed as otherwise permitted or required by law.    

User Information will be accessed, processed, used or stored in countries other than Your country of residence.  All data is stored in the Company head office in the UK, and will also be transmitted in all cases to the ground handler in the overseas destination. This is necessary to operate the challenge. As a result, User Information may be subject to the laws of those countries.  For example, information may be disclosed in response to valid demands or requests from government authorities, courts, or law enforcement in these countries.

You understand and agree that We may also use Your User Information and disclose Your User Information to third parties in connection with the proposed or actual financing, insuring, sale, securitization, assignment or other disposal of all or part of Our business or assets (including accounts) for the purposes of evaluating and/or performing the proposed transaction.  Our successors and assigns may collect, use and disclose Your User Information for substantially the same purposes as those set out in this Policy.  In the event the transaction does not go through, We will require, by contract, the other party or parties to the transaction not to use or disclose your User Information in any manner whatsoever for any purpose, and to return or destroy such User Information. 

Except as specifically provided for in this Policy, We do not disclose any User Information to third parties.


You should be aware that Your information and data may be automatically collected through the use of Cookies.  Cookies are small text files that store basic information that a web site can use to recognise repeat site visits and, as an example, to recall Your name if this has been previously supplied.  We may use Cookies to observe behaviour and compile aggregate data in order to improve the Site, target advertising to Users, and assess general effectiveness of such advertising.  We do not use Cookies to collect personal information, and We do not combine the general information collected through Cookies with other personal information to tell Us who You are or what Your email address is.    

Cookies neither attach to Your system nor damage Your files.  If You do not want information collected through the use of Cookies, most browsers have an option for turning off the Cookie feature.  Note, however, that You may not be able to use all of the features of the Site if You disable the Cookie option.

These cookies are essential in order to enable you to move around the website and use its features, such as accessing secure areas of the website. Without these cookies services you have asked for, like shopping baskets or e-billing, cannot be provided.

Category 2: performance cookies
These cookies collect information about how visitors use a website, for instance which pages visitors go to most often, and if they get error messages from web pages. These cookies don’t collect information that identifies a visitor. All information these cookies collect is aggregated and therefore anonymous. It is only used to improve how a website works. Security is very important to Us.  Security procedures are in place to protect the confidentiality, integrity and availability of Your User Information.

We have implemented security measures to protect Your information from loss, theft, unauthorized access, disclosure, copying, use or modification, both in hard-copy and on-line.  Only staff whose duties require access to Your information are granted such access, and only to the extent necessary. 

By providing Us with Your User Information, You accept that We may retain Your User Information and that it may be held by Us or by any third party service provider or agent, for so long as is reasonably necessary to fulfil the purposes for which it was collected.

Any changes to this Policy and Our information handling practices will be acknowledged in this Policy in a timely manner.  We may add, modify or remove portions of this Policy when We feel that it is appropriate to do so.  For substantive changes, We will make reasonable efforts to notify You of any changes to this Policy.  We may provide notifications of substantive changes prominently on the Site and/or send an email or other form of communication notifying You of substantive changes to the Policy.  Substantive changes to the Policy will be binding thirty (30) days after such changes have been introduced and for which notification of such substantive changes has been made.  The date when this Policy was most recently amended is noted at the bottom of the Policy.
